How is it different from a WhatsApp auto-reply?
An auto-reply fires fixed text. Someone messages you, they get the same sentence back regardless of what they asked, and the actual work still lands on a person later. It is a courtesy, not a front desk.
A receptionist resolves the request end to end. It reads what was asked, answers from what it knows about your business, offers times that are genuinely free, takes the booking and writes it into your calendar. The difference shows up in your day: with auto-replies you still have a queue to work through, with a receptionist you have appointments.
How is it different from an AI phone receptionist?
Phone receptionists answer calls. They are useful when your clients ring, and they carry the costs and constraints of telephony: every conversation occupies a line, runs in real time, and is billed by the minute somewhere in the stack.
A WhatsApp receptionist works in a thread. Conversations can pause and resume, so a client can ask a question at eleven at night, reply the next morning and still be talking to the same thread. It also leaves both of you a written record of what was agreed, which matters when someone insists they booked a different time.
The channels are not rivals so much as different shapes. If most of your enquiries already arrive as messages, a phone answering service is solving a problem you do not have.
What can it actually do?
The useful set is narrow and specific: answer the questions clients repeat all day about services, prices, hours, parking and preparation; check who is free and when; book, reschedule and cancel; and pass anything unusual to a person with enough context that they are not starting cold.
It should also respect the rules that make your business work — how much notice you need, which staff perform which services, how long each takes, and which requests you want to approve yourself before an answer goes out.
What can it not do?
Elily cannot take or verify a payment. It can confirm a booking and explain how your business handles deposits, but the money itself is still your process. If someone tells you their AI receptionist handles deposits end to end, ask exactly what happens when a card is declined.
It also should not improvise on anything clinical, legal or contractual. The right behaviour for those questions is a fast handover to a human, and a receptionist that never hands over is a liability rather than a feature.
What do you need to run one?
Three things. A WhatsApp number on the WhatsApp Business Platform (the WhatsApp Business API), which is what allows software to answer on your behalf on your own number. A calendar it can read and write. And your own business facts: services, durations, staff, opening hours and booking rules.
Most owners already have the second and third. The first is the part that sounds technical and is mostly paperwork.
