TWO CATEGORIES, ONE NAME

AI receptionist or a phone system add-on?

Cloud phone systems and AI receptionist software have converged on the same phrase. A phone system is infrastructure for calls, with an AI layer bolted on. A messaging receptionist is a conversation product. Which one you need depends on how your customers already contact you.

The short version

  • A cloud phone system is telephony first: numbers, routing, voicemail, call recording, teams.
  • A messaging receptionist is conversation first: reading a question, quoting, booking, handing over.
  • The deciding question is where your enquiries arrive today, not which category sounds more advanced.
  • Elily is messaging only. If you need calls answered aloud, that is a voice product.

Two different products, one phrase

Business phone systems, sometimes called cloud phone systems or UCaaS, exist to carry calls: give a business numbers, ring the right people, record when required, and connect handsets and apps. Several now offer an AI receptionist feature that answers, routes and takes messages.

AI receptionist software started from the other end. It exists to have the conversation: understand what was asked, answer from the business's own information, book something, and hand over.

Neither category is the better one. They solve different halves of the same problem, and the honest way to choose is by looking at where your enquiries actually arrive.

What each category is for

Vendors change their plans and features constantly, so this describes what each category is for rather than what any product currently costs or includes. Check the details with the vendor.

Questions to ask about a phone system's AI add-on

The add-on is usually newer than the phone system around it, so ask about the add-on specifically.

  • Does it answer from my own services, prices and hours, or from a script I maintain?
  • Can it read live calendar availability before it offers a time?
  • Can it create, move and cancel an appointment, or only take a message?
  • How does it hand a live call to a person, and what does the person receive?
  • Is it billed inside my phone plan, per minute, or per seat?
  • Which of my systems does it integrate with today, without a project?
  • What does a caller hear when it does not understand?
  • Can I listen to real recordings from a business like mine before I commit?

Why messaging often finishes more jobs

A call has to be answered now, by both sides. A message does not, which is why messaging survives the exact situations that lose you work: you are with a customer, they are at work, one of you is on a train.

Messaging also carries things a call cannot. A photo of the leak. A screenshot of the listing. A link to your price list. And it leaves a thread, so the quote, the booking and the change of plan sit in one place both sides can scroll back through.

The counter-argument is real too. Some customers will always call, some situations need a voice, and in some trades the phone is simply the channel. That is why this is a question about your customers rather than about the technology.

How to decide

Choose a phone system when

Most enquiries arrive as calls, you need proper routing across a team, recording is a requirement, or you are replacing ageing phone infrastructure anyway.

Choose a messaging receptionist when

Customers already message you, the work is quoting and booking rather than routing, and the enquiries you lose are the ones that arrive when nobody can pick up.

QUESTIONS BEFORE YOU START

Common questions

Is an AI receptionist the same as a virtual phone system?

No. A phone system carries calls: numbers, routing, voicemail, recording. An AI receptionist has the conversation. Several phone systems now include an AI answering layer, which is why the phrases have blurred, but the underlying products started from different problems.

Can I use both?

Often that is the sensible setup. The phone system handles calls and routing; a messaging receptionist handles the written enquiries that arrive out of hours. They are not competing for the same conversation.

Does Elily answer phone calls?

No. Elily is a messaging receptionist on your business's own WhatsApp number. If you need calls answered aloud, that is a voice product and a different category.

How do I compare a per-minute quote with a per-conversation quote?

Convert both to your own month. Take last month's real enquiry count and average length, apply each vendor's unit, and compare the totals. The headline rates are not comparable and are not meant to be.
